All details are necessary. Names of passengers, Passports details, arrival date, departure date, flight details and accommodation requested should be made as early as possible, especially for the months of October to April.
All accommodation is on "Run of House" basis. The right is reserved to substitute hotel accommodation of a similar grade when necessary. In addition, East Pole Travel cannot be held responsible for hotel over booking situations, when the hotel may relocate the individuals or the tour. However, we will do our utmost to ensure this relocation will be in accommodation of a similar category.
During the tourist high season in Myanmar from October until April all hotels will add a high-season supplement charge to the annual contract room rates. Full payment should be made before guests arrive, plus the cost of the compulsory Gala Dinners on Christmas and New Year's Eve.
For any reservations or additional services accepted within 15 days of arrival we reserve the right to charge a sum of 40$ as late fee to cover our additional administration costs.
Any additional charges for second amendment, a nominal fee for our communication and services will be added.
All rates are quoted in US DOLLARS.
Deposit payment of 30% of the tour price must be made upon the acceptance of the quotation and confirmation in order to guarantee all arrangements. Deposit counts as part of the final payment. Our bank account details are provided below.
Full payment must be received by East Pole Travel not later than four weeks before passengers' arrival, unless special arrangements have been made. If payment does not reach us in time, the company reserves the right to forfeit the booking without notice.
We accept Cash upon arrival and Telegraphic Transfer Remittance only. For Telegraphic Transfer, please be noted that all the bank charges for the transfer will be borne by the client side.
After money transfer has been made, the client must send the scan copy of bank slip to us via email.
At present, MASTER, VISA and AMERICAN EXPRESS are not acceptable for payment.

For Package Tours which include air tickets the following rules applies:
Up to 50 days prior to arrival: No cancellation fees.
From 45 – 31 days before departure 30% of total cost.
From 30 – 21 days prior to arrival: 50 % of total cost.
From 20 – 11 days prior to arrival: 80% of total cost.
10 Days or less 100% of total cost
No show 100% of total cost.
Travel insurance for any loss/ accident/ injury is not included in our tour packages. We highly recommend that you purchase full coverage travel insurance from your country of origin.
Each airline has its own policy regarding luggage ranging from 20kg – 40kg according to type of fare. We recommend that you check with the airline ahead of time for any weight restrictions and additional charges relating to checked baggage. You will be responsible for paying to the airline any additional charges for checked or overweight baggage, including, but not limited to, golf bags and oversized luggage. If you exceed the weight limit set by the airline, and excess weight is permitted, you must pay a supplement directly to the airline at the airport.
The airline is liable to you for the baggage you entrust to it only for the compensation contemplated in the international conventions and relevant statutes. In the event of damage, late forwarding, theft or loss of luggage, you should contact the airline and declare the damage, absence or loss of your personal effects before leaving the airport, and then submit a declaration, attaching the originals of the following documents: the travel ticket, the baggage check-in slip, and the declaration. East Pole Travel strongly recommends that you obtain an insurance policy covering the value of your items.
After commencement of travel, no refund either in full or in part will be given for services included in the tour programs and not utilized by the clients.
If you feel unsatisfied with any services whilst on tour, please inform the relevant supplier (or) your local tour guide (or) East Pole Travel to avoid the potential for similar problems happening again in your trip.
In the event of a complaint or claim for compensation, you must inform us by email, regular mail, or facsimile in writing within 15 days from the end of your tour. Relevant receipts and substantiating evidence must be attached to the letter of claim. East Pole Travel will not be liable for any claims made later than 15 days after the completion of your tour.
Whilst every effort will be made to promote requested services, East Pole Travel acts only as a medium for selected quality airlines, hotels, transportation companies and tourist attractions providing the services and other contracts. As such, East Pole Travel is not liable or responsible for any loss, injury, damages, claims for additional expenses due to incidents which occur, delays, political action, change of schedules or other irregularities arising from circumstances beyond its control. These must be borne by passengers.
East Pole Travel Service Co., Ltd. also reserves the right to adjust the program if necessary due to reasons beyond our control or in the interest of our clients. In this case East Pole Travel Service Co., Ltd. will commence to offer sufficient and satisfactory alternatives.
A booking made to East Pole Travel Service Co., Ltd. implies that you agree to the above mentioned conditions.
